Travel and Accommodations

You need to book your travel tickets as soon as you know that you need to make a business trip and you have a fixed date for it. book your train, bus or plane tickets in advance, make arrangements for car rentals and make hotel reservations as soon as possible.

Jot Down An Itinerary

Having a set itinerary would help simplify your life during your trip. Keep a written/printed list of your schedule- your departure, arrival, check in at hotel, business meeting, conference times etc. and also remember to keep some spare time for sightseeing or just winding down. Then you would need to keep another written/printed list of important addresses and telephone numbers, flight details, names of contacts, email addresses, fax numbers, number for the consulate or embassy and every possible bit of information that you may need during your trip.

Share your Plan with a Friend or Colleague

No matter how secretive you are about your business, you need to make sure that a colleague, friend or relative has a copy of your schedule, itinerary and travel and accommodation information. this would help make sure that you could easily be tracked down in case of an emergency back home and that you too could be tracked down in case an emergency should arrive.

Keep your Documents in Order

It is always a good idea to carry your essential documents- your passport, IDs, tickets, etc.- in your carryon so that you don’t get stuck even if the airline loses your luggage. It is also a good idea to keep a scanned copy of these documents in your email drafts box so to protect your ID even if your original documents are stolen or lost.

Exchange Currency in Advance and Get Travelers’ Cheques

A good way to keep your credit cards etc. safe during business trips is to leave them at home if you can. Carry travelers’ cheques and ATM or debit cards and ensure that you have enough forex to make small payments. You can also arrange for your partner to transfer you money during your trip instead of carrying your credit and debit cards.

Pack Light

For a Business Trip, you should pack only what you need. this means that you need to only pack your basic toiletries, a proper, dry cleaned business suit for each day of your stay or one for every meeting if your clients are a bit high end.
